- These terms and conditions shall apply to any hire of
the school premises to the exclusion of any other terms
and conditions. The contract shall only become binding,
and the hirer will only be entitled to the use of the school
premises, upon receipt by the school of the contract signed
by the hirer incorporating these terms and conditions no
later than 7 days before the intended date of hiring.
- All hirers must have in place for the duration of the
contract appropriate third party insurance in an amount
and on terms acceptable to the school and must produce the
certificate of insurance to the school upon request. The
school reserves the right to refuse or cancel any booking
where it is not satisfied as to the hirer’s insurance
arrangements.
- Seven clear days notice is required to cancel a booking.
If due notice is not given there will be no refund.
- The school reserves the right to close or prohibit the
use of any of the facilities at its discretion. The school
will not be liable for any loss or expenditure incurred
by or on behalf of the hirer, or by or on behalf of any
other person arising from the exercise of this discretion
or from the cancellation of any bookings by the School but
in the event of such a cancellation for any reason not beyond
the control of the School any charges paid will be refunded.
- A non-refundable 20% deposit is required at the time
of booking with the remainder due 14 days prior to the letting.
- Regular lettings will be invoiced on a monthly or termly
basis.
- Hirers not known to the school may be required to give
the name of a responsible person to whom reference may be
made. No hirer will be permitted under the age of 21.
- Charges will be on an hour basis and will reflect the
cost of caretaking, heating, lighting and other services.
The School may decide it is necessary for two site controllers
to be on duty for certain functions and charged to the hirer.
An additional charge will be incurred for the use of sound
system and theatre lighting.
- The premises will be left clean and in good order and
must be vacated no later than the time booked. The Hirer
will reimburse any costs incurred by the school in cleaning
the premises after the hiring necessary to ensure that the
premises are sufficiently clean for normal use by the school.
Any damages caused by the hire of the facilities will be
charged.
- Smoking is not allowed anywhere on the School grounds.
- The school reserves the right to determine suitable use;
categories of hire not available are for:
a) events likely to cause disturbance to the surrounding
community
b) purposes unlikely to be supported by the majority of
the community
- Hirers intending to sell any product containing alcohol
shall obtain the appropriate magistrates’ licence
and conform with any by-law with regard its use. The licence
shall be available for inspection by the School.
- Hirers are required to limit use of the school buildings/car
parks/grounds to the area hired and to undertake to supervise
children outside this area, eg,in toilets.
- The Head Groundsman shall be entitled to restrict or
prohibit use of the outdoor sports pitches if in his opinion
the conditions are not suitable for play or for any other
good reason.
- Under Health and Safety regulations it is the responsibility
of each group hiring the facilities to ensure that each
person attending the session or meeting is aware of how
to proceed in an emergency.
- If you find that you have mislaid any items, please contact
the school staff or leave a message on the answer phone,
and it will be dealt with as soon as possible.
- Hirers wishing to use the Swimming Pool must ensure there
are two qualified lifeguards present plus a ratio of one
adult to two children. The School reserves the right to
see a copy of the lifeguard’s qualification and to
refuse or cancel the booking where it is not satisfied as
to the qualifications of the lifeguard.
- Hirers undertaking any sporting activity within the school
grounds must adhere to the codes of practice of their sport.
- In the case of Residential lettings, no children must
be left unsupervised in the boarding houses or any other
area of the School grounds.
- For the hire of Towers Theatre a safety audit will be
carried out on the activity proposed, all hirers must sign
to say they have received a safety awareness briefing.
- Hirers must not exceed the maximum persons capacity for
Towers Theatre which are currently 250 for seated performances
150 for dinner dances and discos 50 people on the balcony
or such other capacity as the school or the Fire or other
authorities may require.
